Empowering the International Testing Agency with a Fully-customized Employee Engagement Portal

About the International Testing Agency (ITA)

The International Testing Agency (ITA), based in Lausanne, Switzerland, is a leading organization dedicated to ensuring fair play in sports through comprehensive anti-doping programs. Their mission is to protect the integrity of sports by providing independent, expert-led anti-doping services to international sports organizations. Over the years, ITA has experienced significant growth, expanding its operations internationally and increasing its staff across various countries. This growth necessitated a robust solution to streamline valuable information and resources for the ITA team, enhance employee engagement, and provide essential tools through a single access point.

The
Challenge

With a rapidly growing team and operations spanning across the globe, the ITA faced challenges in consolidating information, fostering employee engagement, and ensuring seamless access to tools and resources. They needed a centralized platform that could cater to their diverse needs and support their mission of maintaining the highest standards of integrity in sports.

Since its operational launch in 2018, the ITA has grown into the world’s largest organisation implementing anti-doping programs. Over 75 sports bodies, International Federations and Major Event Organizers, delegate their clean sport activities for independent expert management to the ITA – including the IOC. In 2023, the ITA collected over 40,000 samples from over 15,000 athletes and processed close to 500 potential anti-doping rule violations.

The Solution:
A Comprehensive Employee Engagement Portal

Our IT Services company partnered with the ITA to develop and implement an innovative employee engagement portal and intranet. We came up with a custom-made solution for the ITA that included the development and implementation of an innovative employee engagement portal and intranet.
This platform was designed to address the ITA’s unique requirements and support their continued growth.

Key features of the portal include:

  • Automatic News Posts: Integration with ITA’s public website RSS feed to automatically create news posts with text and images, ensuring staff are always informed about the latest updates.
  • Launch Pad for Internal Tools: A centralized hub for accessing essential internal tools, streamlining workflows and improving productivity.
  • Central Calendar: A unified calendar that programmatically collates events from multiple departments, ensuring all company-relevant events are easily accessible.
  • Social Calendar: A dedicated calendar for social events, fostering a sense of community and engagement among staff.
  • Employee Directory: An intuitive directory that makes it easy to identify and connect with relevant colleagues, enhancing collaboration.
  • Document Repository: Department-specific repositories with tailored permissions, ensuring secure and efficient document management.
  • Viva Communities: Integration with Microsoft Viva Communities to boost employee engagement and foster a collaborative culture.
  • Birthday Corner: Automatic birthday notifications based on user attributes, allowing employees to celebrate and engage with their colleagues.
  • Marketplace for Pre-Loved Items: A platform for employees to buy and sell pre-loved items, promoting a circular economy and sustainability.
  • IdeaBox: A feature that enables employees to co-create on company culture and strategy, providing a feedback loop for continuous improvement.

Results

The implementation of the internal portal has had a significant positive impact on ITA:

  • Streamlined Communication: With automated news pages and a centralized information hub, plus a way to surface skills and capabilities via the employee directory, communication across the organization is now a click away.
  • Enhanced Social Interaction and Engagement: Thanks to Viva Engage and the birthday app, we’ve fostered a vibrant sense of community and camaraderie among employees, making ITA a more connected and lively workplace.
  • Optimized Document Management: Leveraging SharePoint’s robust document repository capabilities, we’ve ensured secure, efficient, and organized document management. Departments now have tailored permissions, making it easier to access and manage critical documents without the usual hassle.

Boco Prime IT truly understood the unique needs of the ITA and the organizational challenges we needed to address with PULSE, our new employee engagement platform. They demonstrated a deep awareness of the sensitive aspects of data and access security, which are critical for an anti-doping organization like ours. Throughout the process, Boco Prime IT delivered the platform according to the project plan, ensuring seamless communication at every stage.

Their expertise in working within the Microsoft 365 environment, which ITA already operates in, was invaluable. They provided insightful guidance on how to best automate streams of information from SharePoint and our website, making the content management of PULSE both efficient and effective.

PULSE has already become a central hub for the ITA, bringing together our information and staff, regardless of where they are located, and ensuring that all essential resources are accessible to everyone, anytime. We are pleased with this collaboration and the results delivered by Boco Prime.
